Understand your plan's guest limit

Your plan and accountOwners and managersChecked against Paddlit on 5 Nov 2026

How many guests you can add ahead of the night, what counts, and how walk-ups fit in.

Each plan allows a set number of guests per event. The limit is about guests you add ahead of the night.

What counts

Every guest on the event's list counts, however they got there:

  • guests you add by hand or import from a spreadsheet,
  • seats sold on your event page, including seats the buyer hasn't named yet,
  • walk-ups added at the door.

Guests you remove stop counting. The anonymous guest used for anonymous pledges never counts.

What the limit doesn't stop

  • Walk-ups at the door. Each event has walk-ups switched on or off, under Allow walk-ups in its Settings (On the night › Door). When they're on, the limit never stops a walk-up, even once you've reached it. They still count in your guest figures.
  • Guests added once the event is Live. From then on, guests can be added whatever the limit.

Seeing where you are

  • An owner can see the number under Organisation settings › Plan & billing, in What you've used: Guests at your biggest event, out of what your plan allows.
  • When an event gets close to the limit, its page shows Nearly all the guests your plan allows above the tabs. At the limit, it says No more guests ahead of time.
What you've used on Plan & billing: Events this year, Guests at your biggest event at 420 of 500 with its bar in amber, and Storage
The top of an event's page with 420 guests: Needs attention lists guests never sent an add-link, pass adoption, and 420/500 Nearly all the guests your plan allows, with See plans

When you reach it

Adding another guest is turned down with a message saying how many your plan allows. When you import a spreadsheet that would go over, the message says how many more you can add. On your event page, a buyer is told there aren't enough places left.

To add more guests ahead of time, an owner can choose a bigger plan on Plan & billing. Each plan's guest limit is listed there.

Volunteers are unlimited on every plan. They never count as guests.
